Privacy Policy for Mantraist

At Mantraist (“Mantraist,” “we,” “our,” or “us”), your privacy is important to us. This Privacy Policy explains what information we collect, how we use it, how it may be shared, and how we protect it when you use Mantraist and its related services.

Mantraist includes productivity and workspace features as well as the Mantraist Freelancer Network.

By creating an account, submitting a Freelancer Network application, or using Mantraist services, you acknowledge this Privacy Policy.

1. Information We Collect

We collect different types of information depending on how you use Mantraist.

a) Account Information

When you create or access a Mantraist Workspace account, we may collect information provided through your authentication method, including:

  • Email address
  • Name
  • Profile information
  • Google profile information, such as your profile picture, where provided through Google authentication

This information is used to authenticate your account, maintain your account, and provide a personalized experience.

b) Freelancer Network Information

When you submit an application to the Mantraist Freelancer Network, we may collect information such as:

  • Full name
  • Email address
  • Location or region
  • Primary service category
  • Specialty or area of expertise
  • Portfolio links
  • Work references
  • Additional work links
  • Pricing model
  • Typical client response time
  • Professional and work-related information you choose to provide
  • Confirmations or acknowledgements relating to professional conduct, genuine work, and network requirements

This information is provided voluntarily when you submit a Freelancer Network application.

We use this information to review applications, maintain freelancer profiles, operate the Freelancer Network, assess whether submitted information and work references meet current network requirements, and potentially identify or facilitate suitable opportunities with clients.

c) Workspace and Productivity Data

Depending on the features you use, Mantraist may collect and store information such as:

  • Tasks
  • Task descriptions
  • Due dates
  • Scheduled times
  • Priority levels
  • Top 3 tasks
  • Momentum cycle information
  • Selected Boss Task
  • Project information
  • Client names
  • Client-related project information
  • Other information you choose to add to your Workspace

d) AI Agent Data

When you use Mantraist AI features, we may process information that you provide specifically for an AI request.

This may include:

  • Public URLs submitted for summaries
  • CSV files
  • Meeting notes or transcripts
  • Prompts
  • Context provided for generating email drafts
  • Other information you intentionally provide to an AI feature

Only the information necessary for the requested AI feature is intended to be sent for AI processing.

e) Client Project Requirement Information

When a client submits a project requirement through a Mantraist client form, we collect:

  • Name or company name
  • Project description or type of work/service needed
  • Contact email
  • Estimated budget
  • Expected start timeline

This information is provided voluntarily and is used to understand the client's basic requirement and help identify potentially suitable verified freelancers.

The client form is intended for initial requirement matching. Clients do not need to provide complete project details at this stage. Detailed project scope, deliverables, technical requirements, final pricing, milestones, deadlines, revisions, and other project-specific terms may be discussed between the client and freelancer after they are connected.

f) Technical and Usage Information

When you use Mantraist, we may collect technical and usage information such as:

  • IP address
  • Browser type
  • Operating system
  • Device information
  • Pages or sections accessed
  • General usage patterns
  • Application performance information
  • Error or diagnostic information

We may also use browser technologies such as cookies, local storage, and session storage where necessary to provide and maintain the service.

2. How We Use Your Information

We use the information we collect to:

  • Provide and operate Mantraist.
  • Authenticate and maintain user accounts.
  • Provide Workspace and productivity features.
  • Store and manage user-created information.
  • Operate Client Portal features.
  • Provide AI-powered features when requested.
  • Review Freelancer Network applications.
  • Maintain Freelancer Network profiles.
  • Assess submitted work references and profile information.
  • Identify or facilitate potentially relevant opportunities between freelancers and clients.
  • Review client project requirements for potential freelancer matching.
  • Contact clients regarding submitted project requirements.
  • Provide freelancer matching and introduction information.
  • Send relevant project updates, communication, and notifications.
  • Facilitate project-related communication and sharing of relevant project files through email.
  • Communicate with users about support, applications, updates, and important service information.
  • Maintain security and prevent abuse or fraudulent activity.
  • Monitor performance and diagnose technical problems.
  • Understand how people use Mantraist and improve the service.
  • Comply with applicable legal or security requirements.

We do not sell your personal information to third parties.

3. Freelancer Network Information and Profile Review

Information submitted through the Freelancer Network may be reviewed by Mantraist as part of the application and approval process.

We may use submitted information and work references to determine whether a freelancer profile meets the current requirements of the network.

The information may also be used to:

  • Maintain the freelancer's network profile.
  • Communicate with the freelancer.
  • Evaluate relevant skills and services.
  • Identify potentially suitable client opportunities.
  • Facilitate contact or introductions where appropriate.
  • Maintain the integrity and trustworthiness of the network.
  • Investigate potentially false, misleading, fraudulent, or prohibited submissions.

The visibility of Freelancer Network information may depend on how particular network features are implemented.

We do not currently promise that freelancer profiles will be publicly searchable or displayed in a public directory.

4. Client Requirement Matching

When a client submits a project requirement, Mantraist may review the submitted information to understand the client's needs and identify potentially suitable verified freelancers.

The information may be used to consider the type of service required, the client's indicated budget, expected start timeline, and other information provided through the form.

The budget submitted through the form is an initial indication only and does not represent a final project price.

Detailed project scope, pricing, deliverables, milestones, timelines, revisions, and other project-specific terms may be discussed and agreed upon by the client and freelancer after they are connected.

Submitting a requirement does not guarantee that a particular freelancer will be available or that a match will be made.

5. Client Email & Project Communication

The email address provided by a client through the project requirement form is an important communication channel for Mantraist.

We may use this email address to send:

  • Mantraist updates
  • Freelancer matching and introduction details
  • Project-related communication
  • Important notifications and follow-ups
  • Relevant project information
  • Shared project files or documents through email attachments
  • Information regarding next steps

Clients should provide an active and regularly monitored email address.

Providing an incorrect, inactive, or inaccessible email address may result in the client missing important Mantraist updates, project communication, shared files, or notifications.

6. Cookies, Local Storage, and Session Storage

Mantraist may use cookies and browser storage technologies to operate and improve the service.

These technologies may be used to:

  • Maintain authentication and login sessions.
  • Remember temporary application states.
  • Maintain active timers or productivity states.
  • Prevent loss of temporary information while navigating the application.
  • Understand website and application usage through analytics.

Mantraist also uses Google Analytics to understand how users interact with the website and application, including different pages and sections of the Mantraist landing page and Workspace.

We do not use cookies for the purpose of selling your personal information to advertisers.

7. How We Share Information

We do not sell, rent, or trade your personal information.

We may share or provide access to information with service providers that help us operate Mantraist.

These may include:

Supabase

We use Supabase for services including authentication, database storage, and application data management.

Information stored through Supabase may include account information, Workspace data, and Freelancer Network information that you submit.

Vercel

Vercel provides hosting and deployment infrastructure for Mantraist.

Technical information may be processed as necessary to deliver and secure the application.

Google

Google services are used for authentication and analytics.

Where you use Google authentication, information provided through Google authentication may be used to create and maintain your Mantraist account.

Google Analytics is also used to understand website and application usage.

Gemini / Gemma API

Mantraist uses Google's Gemini/Gemma AI services for certain AI-powered features.

When you intentionally use an AI feature, relevant information required to process that request may be sent to the applicable AI service.

The information sent depends on the AI feature you use and the content you provide.

Gmail / Email Services

We may use email services to communicate with users regarding support, account-related matters, Freelancer Network applications, updates, and other legitimate communications.

We may also use email to respond to messages sent directly to Mantraist.

8. Client Portals and Shared Information

Some Mantraist Workspace features may allow you to share project or other information with clients.

You are responsible for reviewing information before choosing to share it.

Information intentionally made available through a Client Portal may be accessible to people who receive or otherwise obtain the relevant portal access or link, depending on how the feature operates.

Do not share confidential or sensitive information through a Client Portal unless you understand how that information will be accessible.

9. Freelancer and Client Information

Mantraist may process information relating to freelancers and potential clients for the purpose of operating the Freelancer Network.

This may include information used to understand:

  • The services a freelancer provides.
  • Their skills or specialty.
  • Their location or region.
  • Their work references.
  • Their typical response time.
  • Other information relevant to determining whether a potential opportunity may be suitable.

Mantraist does not guarantee that a freelancer will receive an opportunity or that a client will select a particular freelancer.

10. Data Retention

We retain information for as long as reasonably necessary to provide and maintain the relevant Mantraist services, operate the Freelancer Network, maintain security, resolve issues, and meet applicable legal or operational requirements.

For Workspace users, account and application information may be retained while the account remains active.

For Freelancer Network applicants, application and profile information may be retained as reasonably necessary to review applications, maintain network records, communicate with applicants, operate the network, and protect the integrity of the service.

When information is no longer reasonably required, we may delete or anonymize it, subject to technical, legal, security, or backup-related limitations.

Technical logs may be retained temporarily for security, troubleshooting, and service improvement.

Information submitted through client requirement forms may be retained as reasonably necessary to facilitate freelancer matching, communication, maintain relevant records, and operate the related Mantraist services.

11. Your Privacy Rights and Choices

Depending on applicable law, you may have rights relating to your personal information, including the ability to:

  • Request access to personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of personal information where applicable.
  • Request information about how your personal information is processed.
  • Request a copy of certain information in a portable format where applicable.
  • Withdraw certain permissions or choices where applicable.

However, no internet transmission or electronic storage system can be guaranteed to be completely secure.

You are also responsible for maintaining the security of your account and authentication credentials.

Mantraist uses third-party infrastructure and service providers that may process or store information in countries outside India.

As a result, your information may be transferred to or processed in countries where our service providers operate.

Where applicable, we take reasonable steps to use service providers and safeguards intended to protect personal information during such processing.

14. Children's Privacy

The Mantraist Freelancer Network is intended for individuals who are 18 years of age or older.

We do not knowingly accept Freelancer Network applications from individuals under 18.

If we become aware that a Freelancer Network application was submitted by someone under the applicable minimum age, we may take reasonable steps to remove the relevant information.

The age requirements for other Mantraist services may be governed by the applicable Terms of Service.

15. Third-Party Services

Mantraist relies on third-party services to operate parts of the application and website.

These services may include:

  • Supabase
  • Vercel
  • Google authentication
  • Google Analytics
  • Gemini/Gemma AI services
  • Gmail or other email infrastructure

These providers may process information as necessary to provide their services.

Their own privacy policies and terms may also apply to their processing of information.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time as Mantraist, its features, and its data practices change.

When we make significant changes, we may communicate them through the application, website, email, or another reasonable method.

The latest version will always be available at:

The “Last updated” date at the beginning of this policy will indicate when the policy was most recently updated.
